Privacy Policy

DigitalWeb21  ·  Effective Date: April 1, 2026  ·  Last Updated: April 1, 2026
This Privacy Policy explains how DigitalWeb21 ("we," "us," or "our") collects, uses, and protects information when you visit our website at digitalweb21.com or engage our services. Please read this policy carefully. By using our website or services, you agree to the practices described here.

1. Information We Collect

1.1 Information You Provide Directly

We collect information you voluntarily provide when you:

  • Fill out a contact or consultation request form (name, email address, company name, website URL, message content)
  • Subscribe to or purchase our services (billing name, email address, payment information processed by our payment processor)
  • Communicate with us by email, phone, or messaging platforms
  • Grant us access to your website, ecommerce platform, or analytics accounts in connection with our services

1.2 Information Collected Automatically

When you visit our website, we and our third-party tools may automatically collect:

  • IP address and approximate geographic location
  • Browser type, operating system, and device type
  • Pages visited, time on site, referral source, and clickstream data
  • Cookie identifiers and similar tracking technologies

1.3 Client Platform Credentials and Access

In the course of providing our SEO, consulting, or optimization services, you may grant us access credentials or admin access to your website, ecommerce platform (such as Shift4Shop, Shopify, BigCommerce, or Squarespace), Google Analytics, Google Search Console, or other tools. This access is used exclusively to perform agreed-upon services. We treat all such credentials as strictly confidential. See Section 5 below for details on how we handle this information.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Delivering our services — performing SEO audits, optimizations, consulting sessions, and conversion rate optimization work on your behalf
  • Account and billing management — processing subscription payments, sending invoices, and managing your service plan
  • Communication — responding to inquiries, scheduling consultations, providing service updates, and delivering monthly reports
  • Service improvement — analyzing how our website is used to improve the user experience and our service offerings
  • Legal compliance — meeting legal obligations, enforcing our Terms and Conditions, and protecting our legal rights
  • Marketing communications — with your consent, sending information about services, updates, or relevant resources. You may opt out at any time.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

3. Third-Party Tools and Service Providers

We use the following categories of third-party services that may process your information:

3.1 Analytics

We use Google Analytics to understand how visitors use our website. Google Analytics collects usage data through cookies and similar technologies. You can opt out of Google Analytics tracking by using the Google Analytics Opt-out Browser Add-on.

3.2 Payment Processing

Subscription payments are processed by third-party payment processors. We do not store full credit card numbers on our systems. Payment data is handled according to the payment processor's own privacy and security practices, which are PCI DSS compliant.

3.3 Email and Communication Tools

We may use email marketing platforms and CRM tools to manage client communications. These services process email addresses and communication history in accordance with their own privacy policies.

3.4 Tools Used in Service Delivery

To perform our services, we use tools such as Google Search Console, Google Analytics (on your property), Semrush, Microsoft Clarity, Hotjar, and similar platforms. When we access these tools on your behalf, use is governed by the terms and privacy policies of each respective platform.

4. Cookies

Our website uses cookies — small text files stored in your browser — to improve your experience and collect usage data. Types of cookies we use include:

  • Essential cookies — required for the website to function properly
  • Analytics cookies — used to understand how visitors interact with the site (via Google Analytics)
  • Preference cookies — used to remember settings or choices you make

You can control cookies through your browser settings. Disabling cookies may affect some features of the website.

5. Client Platform Access — Confidentiality and Security

When you provide us with access credentials, admin logins, API keys, or similar access to your platforms and tools, we treat this information with the highest level of care:

  • Credentials are stored securely and never shared with unauthorized parties
  • Access is used only for the specific purposes outlined in our service agreement
  • We limit access to team members who require it to perform agreed services
  • Upon termination of services, we promptly return or delete credentials as requested and our team removes itself from any platforms where access was granted
  • We recommend clients revoke access through their platform admin settings upon service termination and change passwords as a standard security practice

We strongly recommend you do not share master account passwords. Where possible, please create a team member login or agency access account with appropriate permissions for our use.

6. Data Retention

We retain your personal information for as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:

  • Active client data is retained for the duration of the service relationship
  • Billing and transaction records are retained for a minimum of seven (7) years for tax and accounting purposes
  • Communication history and service records are retained for up to three (3) years after service termination
  • Platform access credentials are deleted promptly upon service termination
  • Website visitor analytics data is subject to Google Analytics' own retention policies

7. Data Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, or destruction. These include secure storage of credentials, access controls, and encrypted communications.

However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of any passwords you use to access your own accounts and platforms.

8. Your Privacy Rights

Depending on your location, you may have certain rights regarding your personal information, including:

  • Right to access — request a copy of the personal information we hold about you
  • Right to correction — request correction of inaccurate or incomplete information
  • Right to deletion — request deletion of your personal information, subject to legal retention requirements
  • Right to opt out of marketing — unsubscribe from marketing communications at any time using the unsubscribe link in any email or by contacting us directly
  • Right to data portability — request a copy of your data in a portable format where technically feasible

To exercise any of these rights, please contact us at the address below. We will respond within 30 days.

9. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information. To submit a CCPA request, contact us at the address below.

10. International Users

Our services are based in the United States. If you access our website or services from outside the United States, your information may be transferred to, stored, and processed in the United States. By using our services, you consent to this transfer. We process data in accordance with applicable law and take reasonable steps to protect information transferred internationally.

11. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected such information, we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or applicable law. When we make material changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
